Terms of Service

These terms govern your use of WTNDigital.com. By creating an account or using the service, you agree to them.

1. The parties

“We”, “us” = Lee Bliss t/a WTNDigital.com, 3 Pulla Hill Drive, Storrington, West Sussex, RH20 3LS, United Kingdom, a UK sole trader. “You”, “Customer”, “Haulier” = the business or person subscribing to the service.

2. The service

WTNDigital.com is a multi-tenant SaaS platform that lets UK hauliers create, sign, store, distribute and submit Waste Transfer Notes in a format compliant with the UK 2026 Digital Waste Tracking regulations and the Waste (England and Wales) Regulations 2011. The service also includes operational features that go beyond the WTN itself — internal messaging between admins and drivers, optional live driver location tracking for dispatch and safety, and an offline-first driver mobile experience so notes can be signed without an internet connection. Each of these is described in your Privacy Policy and section 6a below.

3. Account eligibility

  • You must be 18 or over and able to enter a binding contract.
  • You are responsible for the accuracy of the company details you provide.
  • You are responsible for keeping login credentials confidential and for all activity under your account.

4. Subscription & billing

  • Every new haulier gets a 14-day free trial. No card is required to start. If you don’t subscribe before the trial ends, your account is suspended (data is retained for 30 days, then deleted except where law requires otherwise).
  • Paid plans are billed monthly in advance via Stripe. Prices are listed on our pricing page and are in GBP, exclusive of VAT (VAT is added where applicable).
  • Plan limits (users, WTNs/month) are enforced in-app. Upgrade anytime.
  • Cancel anytime — from /admin/billing. Your subscription runs until the end of the current paid period; no refunds for partial months (see our Refund Policy).

5. Your data

You retain ownership of all data you upload (customers, vehicles, WTNs, signatures, GPS). We process it on your behalf under our Data Processing Agreement. You can export your WTNs at any time as CSV or PDF from the admin console.

6. Acceptable use

You agree to follow our Acceptable Use Policy. In short: no fraud, no illegal waste activity, no disrupting the platform.

6a. Driver tracking, messaging & offline working

These features extend the service beyond the statutory Waste Transfer Note flow. Because they involve employee data, you accept the following responsibilities.

  • Live driver location. Tracking is off by default. Each driver must tap "I agree" on a one-time consent screen before any location data is collected, and they may decline. As the employer of those drivers, you are the data controller for their employment records; we are the processor. You are responsible for ensuring your employment contract, driver handbook, and any Driver Acceptable Use document fairly inform drivers of monitoring, in line with UK GDPR Article 5 (transparency) and ICO employee-monitoring guidance. We provide the consent capture, the opt-out, the 30-day auto-purge, and the on-screen disclosure ("Location is shared with the yard until you clock out").
  • Team chat. Messages — including photo attachments and any linked Job / WTN — are stored on our servers until your tenant's retention setting (30 days, 90 days, or forever; admin-configurable) deletes them. You agree not to use team chat for harassment, discrimination, sharing of confidential third-party data you don't have rights to share, or to discuss personal matters that don't belong in an operational tool. Admin retains the right (and may have a legal obligation) to read messages sent on the platform.
  • Offline driver app. The driver app caches your tenant's operational data (jobs, customers, vehicles, tip sites, EWC / SIC codes) onto the driver's phone via the device's IndexedDB so they can work without signal. This cache is wiped on logout. You agree to ensure your drivers log out at the end of shift on any shared device, and to revoke their account promptly if they leave the business.
  • Provisional notes. Notes signed offline carry a provisional draft ID and are not finalised — and not legally a Waste Transfer Note for the purposes of the regulations — until they reach our server and a permanent WTN number is allocated. We dedupe on the provisional ID so a flaky re-sync cannot create duplicate records.
  • Push notifications. Where a driver has installed the app to their home screen and granted notification permission, we route in-app messages via the browser's standard push service (Google FCM / Apple APNs / Mozilla autopush). You agree not to abuse push for non-operational content.

7. Compliance responsibility

We provide the tooling for you to stay compliant, but you are the Waste Carrier and remain legally responsible for the accuracy of each WTN, for holding a valid carrier licence, for the Duty of Care, and for the facility-level record-keeping. We help; we don’t replace your licence.

8. Service levels & availability

We target 99.5% monthly uptime. Scheduled maintenance is announced in advance. No SLA credits are offered on the standard plans; bespoke SLAs are available on enterprise agreements — ask us.

9. Intellectual property

All rights in the software, UI, copy, branding, and templates are ours. You get a non-exclusive, non-transferable licence to use the service for the duration of your subscription.

10. Liability

We don’t limit liability for death or personal injury caused by negligence, fraud, or anything else that can’t be limited under English law. Subject to that, our total liability for any claim is capped at the total fees you paid us in the 12 months preceding the claim. We’re not liable for indirect or consequential losses (lost profits, lost data beyond backups we maintain, reputational damage).

11. Termination

  • You can cancel anytime from the admin billing page.
  • We can suspend or terminate accounts that breach these terms, don’t pay, or that we reasonably believe are used for illegal activity.
  • On termination, WTN records are retained for the legally-mandated 2-year window, then deleted.

12. Changes to the service

We iterate quickly. Material changes to the service, pricing, or these terms will be announced by email at least 30 days in advance. You can cancel if you don’t accept the change.

13. Governing law

These terms are governed by the laws of England & Wales. The courts of England & Wales have exclusive jurisdiction over any dispute.
